- Show Management
- The words “Show Management “ as used herein refer to the Landscape Ontario Horticultural Trades Association and Canadian Fence Industry Association, their employees and agents. The enforcement and interpretation of the following rules and regulations are the responsibility of Show Management.
- Space Rental
- The application for exhibit space, when duly signed by the exhibiting firm and Show Management, shall constitute a valid contract between the parties. If payment is not received within the prescribed time limit, the contract is considered null and void and the space will be reassigned to another applicant. Should any rented space remain unoccupied on the opening day, Show Management reserves the right to rent such space to any other applicant or use it for any other purpose without refund to the original applicant. Each space comes with a standard coloured backdrop and side rail drapery. This colour can be replaced at the exhibitor’s expense. NOTE – Exhibitors are required to furnish booths with appropriate floor covering.
- Cancelation of Display Space
- Display space may be cancelled up to 90 days prior to the opening dates of the exposition without penalty (except for a $200.00 administration fee); however, a cancelation charge equal to one-third the cost of the space will be made by Show Management for space cancelled from 90 days to 60 days prior to the opening date of the exposition; one-half the cost of the space if cancelled from 60 days to 30 days prior to the opening date; and full cost of the space if cancelled within 30 days of the opening date of the exposition.
- Use of Space & Restrictions
- The space contracted is to be used solely by the exhibitor whose name appears on the application, as agreed to by both parties, and only products and /or services of the exhibitor may be exhibited. Any promotion of other products or services is strictly prohibited and will result in ejection from the exhibition without refund or other appeal.
No exhibit will be permitted which interferes with the exhibits of other exhibitors or obstructs the visibility of other exhibits. Exhibits must be confined to the exact space allocated, and where an exhibitor’s display is built beyond limitations set forth in this contract, Show Management reserves the right to correct such violations by having the exhibitor alter, remove or rearrange any or all of the display so that it will comply with the regulations or, if the exhibitor is not available, to make such corrections at the exhibitor’s expense.
Show Management reserves the right to restrict exhibits, which, because of noise, operation of equipment, creation of safety hazards or any other reason, become objectionable or otherwise distracts from neighbouring exhibits.
No representation of the exhibitor, his products or services may be carried on in the aisles; corridors, feature areas or other designated common areas of the facilities. All exhibitors must comply with the booth configurations set by Show Management.
- Exhibitors Visiting Booth Space Not Contracted To Their Company
- Exhibitors are not allowed into other exhibitor’s booth space unless invited. Such visits are only permitted if a staff person representing the booth occupied is present.
- Installation, Exhibit Hours and Dismantling
- Dates and hours for installation, exhibiting and dismantling will be as specified by Show Management. Goods received after the opening of the exposition must be delivered to the booth and arranged at a time other than official exhibit hours. Exhibits shall be staffed at all times when the exhibition is officially open. No exhibitor will be permitted to commence dismantling any portion of the exhibit whatsoever, to commence packing crates or cartons, or to abandon his display prior to the official closing. Failure to comply with this regulation will result in the exhibitor being barred from participation at future exhibitions conducted by Show Management.
All exhibits must be removed by 2:00 p.m., Friday, January 11, 2019 and all storage and handling charges for failure to remove exhibit material by that time shall be the responsibility of the exhibitor. Show Management reserves the right to remove any exhibit not removed by the conclusion of the exhibition and charge the expense to the exhibitor.
- Materials Handling
- Manned forklifts and dollies will be provided free of charge during official move-in and move-out hours for material handling to the booth site only; not for spotting during setup. *Exhibitors needing forklifts for spotting or assembly should contact Stronco Group of Companies at 1-800-665-2621. Exhibitors should have their representatives on hand to supervise unloading and placing of exhibit material.
- Loading Docks
- The Toronto Congress Centre’s South Building is equipped with 17 truck level loading docks with automatic dock levelers and trailer lights. The docks are fully covered, secured and heated in winter. There are 2 pickup level docks with limited drive-in access. The operation of the loading bay overhead doors is the responsibility of the dock manager.
- Fire Regulations
- All exhibitors must comply with local fire regulations. Only fireproof materials may be used in displays and wiring must conform to C.S.A. or UL specifications. Fire exits and aisles must be kept clear at all times. The exhibitor assumes full responsibility for ensuring that exhibits meet these standards.
- Electrical Safety Code Requirements
- All exhibitors must comply with the Ontario Electrical Safety Code requirements. The exhibitor assumes full responsibility for ensuring that exhibits meet these standards.
The Toronto Congress Centre has appointed Showtech Power and Lighting as the exclusive electrical service provider. The following requirements must be adhered to in the installation of all temporary electrical and lighting equipment and services:
- All electrical connections, installations, assemblies, motors and any electrical operating gear must conform to all Federal, Provincial, and Municipal electrical and fire codes
- All electrical fixtures, fittings, and appliances must be CSA approved
- Latex wire cord, duplex, and triplex plugs are not allowed
- Exhibitors are not allowed to store materials on or around any kind of electrical equipment or connections
- Equipment that trips circuits due to overload may not be restarted until Showtech, exclusive electrical contractor, has identified and corrected the problem
- Specialized equipment requiring company engineers and technicians may be used with prior written approval of TCC
- Wall and pillar plugs distributed around the building are for specific use of TCC and their contractors and may not be used by exhibitors without permission of Showtech, exclusive electrical contractor. A fee will be charged to the exhibitor if the outlet(s) are used
- Hanging Signage/Banners/Rigging
- No items may be suspended from any ceiling without the prior written permission of Toronto Congress Centre management. Any items to be suspended must be installed by Showtech, exclusive contractor. To obtain approval for hanging banners, signage or other items from the ceiling; please provide the following information:
- Type of item to be hung
- Exact weight
- Length of truss or frame dimensions
- Number of attachments and their position(s)
- Type of rigging to be used
- Motorized Vehicles
- Vehicles powered by an internal combustion engine must contain ¼ or less of a tank of gas and the gas cap must be locked shut or otherwise secured. The positive lead must also be removed from the battery. Once in position, it must not be operable (ie battery to be disconnected). No motorized vehicles are allowed to operate in the Toronto Congress Centre unless special, written permission has been granted by facility management.
Vehicles must have drip pans underneath them and pads under all tires. All vehicles entering the South Building must be clean and dry. Truck wash services are available.
- Damage to Property
- Exhibitors are liable for all damage caused by them to the exhibit facility booth equipment or to other exhibitors’ property and shall indemnify the facility management, Show Management, and/or the official services contractors against, and hold them harmless from, any complaints, suits or liabilities resulting from negligence of the exhibitor in connection with the exhibitors use of exhibit space.
- Care of Buildings
- Painting, nailing or drilling of floors, walls, ceilings or any other part of the building is not permitted. Exhibitors laying any floor covering must use an adhesive that will not damage the floor and is easily removed. The only tape authorized to be used on the exhibit floor is #174 high-adhesion double-faced tape. No signs or other articles are to be fastened to ceilings, walls, pipes or electrical fixtures. The floor is polished concrete and the floor load is unlimited. Any floor covering tape not removed by the exhibitor will be subject to a removal charge. Any exhibitor receiving two such charges may be declined an invitation to exhibit in future exhibitions.
- Show Management will employ reputable guards on a 24-hour basis for the duration of the exhibition and will take reasonable precautions to safeguard exhibitors’ property. However, Show Management assumes no liability for loss or damages, howsoever caused, of goods, exhibits, or other materials owned, rented or leased by the exhibitor. Release forms that allow exhibitors to remove small items (ie PC’s) from the show floor during and after show hours will be utilized. You are requested to present a Release Form, signed by the exhibitor and Show Management, to security should you choose to remove items from the show floor. Please come to the show office to obtain the release form for product removal.
- Exhibitor Badges
- Show Management will supply exhibitor badges for exhibit personnel. These must be worn at all times while in the show building and exhibit area and are required for entry to the show.
- Food and/or Alcoholic Beverages
- The preparation and/or serving of food or beverage of any kind without the written permission of Show Management and the Toronto Congress Centre are prohibited. Serving of alcoholic beverages on the exhibit floor is prohibited. Exhibitors showcasing food and/or beverage in their booth must adhere to all City of Toronto health requirements. - The Toronto Congress Centre is a smoke free building. Smoking is prohibited in all exhibit halls and meeting rooms. Compliance will be enforced by show and building security.
- Liability and Insurance
- Neither Show Management nor any of its officers, directors, employees or agents, nor owners, employees, or representatives of the exhibit facility will be responsible for any injury, loss or damage that may occur to the exhibitor, or the exhibitor’s employees or property from any cause whatsoever prior, during or subsequent to the period covered by the exhibit contract. The exhibitor, on signing the contract, expressly releases Show Management and the Toronto Congress Centre, and agrees to indemnify it against, any or all claims for such loss, damage or injury. Exhibitors desiring to carry insurance on their exhibits will place it at their own expense.
- Exclusive Rights
- Participating exhibitors have the exclusive right to promote and sell goods and services in the show. All other parties who attempt to make any sales solicitations without the expressed written consent of Show Management will be permanently removed from the show area. Exhibitors are asked to report any infractions to the Show Office so immediate remedial action can be taken.
- Entry to Show
- Show Management reserves the rights to refuse admission to any visitor, exhibitor, or exhibitor’s employee who, in the opinion of Show Management is unfit, intoxicated, or in any way creating a disruption of the Show.
- Selling at the Show
- Exhibitors who wish to sell their products during the show must issue a receipt to the buyer to allow the purchaser to carry the product out of the building during the show.
- Soliciting by Non-Exhibitors
- Soliciting by non-exhibitors is strictly prohibited. Please report any such occurrences immediately to Show Management so that appropriate action can be taken.
- Occupational Health and Safety Act
- Landscape Ontario Horticultural Trades Association, Canadian Fence Industry Association and the Toronto Congress Centre follow Ontario’s Occupational Health and Safety Act and require your compliance to ensure a safe and healthy workplace. The Act provides for the rights and responsibilities of all parties involved, as well as procedures to follow when dealing with workplace hazards. It is your responsibility to be aware of and follow the Occupational Health and Safety Act. Detailed information on the Act can be found at: http://www.labour.gov.on.ca/english/hs/training/index.php
- It is the responsibility of each exhibitor to have the proper insurance for the event including:
- $2,000,000 Comprehensive General Liability
- Toronto Congress Centre, Landscape Ontario Horticultural Trades Association and the Canadian Fence Industry Association shall be listed as additional named insures.

- Emergency Procedures
- The Toronto Congress Centre Fire Alarm system is a single stage pulse tone. All persons must evacuate the building immediately when the alarm is sounded. If positive, an announcement will be made to evacuate the building. Building security will wait outside for emergency services to respond and direct them to the location of the emergency. Show security will ensure that safety and order are maintained within the confines of the building. All Fire Exit or Fire Extinguisher must be kept visible and unobstructed. Emergency exits and aisles must be kept clear and unobstructed. Vehicles parked on fire routes will be removed at the owner’s expense.
- Fire Works & Pyrotechnics
- No fireworks may be brought into or discharged in the Toronto Congress Centre at any time without written permission from facility management.
- First Aid
- First Aid equipment and staff are located on the west wall of Hall D. Additional equipment can be found at Security Door #4. A first aid officer is on duty during move-in, -out and show hours. All security guards and first aid officer(s) are trained to operate defibrillator. First aid personnel are equipped with two-way radios for instant access.
- Helium tanks and balloons are not permitted.
